Director of Administration and Facilities
Position Goals:
To provide oversight to the administration and facilities of Greenwood Forest Baptist Church, to include administrative support to the ministerial staff; assistance with the accounting contract; coordination of vendors, outside groups, and rentals; and maintenance of the church office and related systems (i.e. building security and HVAC controls).
Relationships:
This position will be supervised by the Senior Pastor and will receive support from the Personnel Committee. This position will be a liaison to vendors and outside groups.
Hours:
This is a 40 hour per week, exempt position. Regular working hours are generally Sunday through Thursday, with the ability to flex schedule as approved by the supervisor. Some hours may be done remotely; presence on Sunday morning is required.
Salary/Benefits:
Salary Range is $60,000 to $65,000, depending on experience. Benefits include a minimum of 3 weeks of PTO available annually, retirement, and health/life/disability insurance.

Responsibilities:
Facilities and Maintenance
- Ensure compliance with government codes related to facility management (i.e., fire inspections and drills and grease pit maintenance).
- Maintain the HVAC computer system, control system, and remote access door system.
- Provide monthly detailed reports to the Properties Committee and enlist their support as needed.
- Open and close the church property on Sundays.
Vendor/Outside Group Management
- Oversee the cleaning contract and maintain communication with the company.
- Identify and evaluate vendors to facilitate inspections, maintenance, repairs, ground maintenance, etc., ensuring quality service as well as competitive pricing.
- Coordinate all vendors and ensure access to the property for repairs and maintenance as needed.
- Coordinate and manage outside group contracts and usage and the rental of buildings, including wedding ceremony rentals. (i.e., maintain a list of groups, communicate with group leaders, keep agreements up to date, and ensure building access).
Finance Support
- Provide finance support to the outside accountant (i.e., money counting, bank deposits, budget coding).
- Manage credit cards.
- Mail stewardship letters.
- Provide finance information as requested by the Pastor and Finance Chair.
- Work with the outside accountant to complete audits as needed.
- Maintain the accountant contract alongside the Senior Pastor and Finance Chair.
Administrative and Communication Support
- Provide administrative oversight and data entry to the membership database.
- Maintain the Safety and Security Training volunteer list and keep background checks up to date.
- Provide personnel assistance (i.e., maintain housing allowance records, new hire onboarding paperwork, communicate with health insurance contacts, maintain vacation/leave balance records for staff).
- Prepare reports as requested by the Senior Pastor to assist with ministry related tasks.
- Keep office and office equipment in working order, including ensuring that office supplies are stocked and the copier is in working order.
- Respond to inquiries to the church office, including voicemails and emails, as well as receiving and directing visitors during open office hours.
- Execute columbarium contracts and maintain columbarium records.
- Coordinate volunteers alongside committee chairs for various ministry tasks.
